Job Description

A busy, community‑focused school in Coventry is seeking an organised, efficient, and proactive School Administrator to support the smooth running of daily operations. This role is central to the school’s communication, data management, safeguarding processes, and front‑office organisation. You will be the first point of contact for parents, staff, visitors, and external agencies, ensuring the school maintains a professional, welcoming, and well‑coordinated environment.

📝 Detailed Responsibilities

Front Office & Communication

  • Managing the school’s reception area, greeting parents, visitors, and contractors professionally
  • Handling incoming calls, emails, and enquiries, ensuring messages are passed on promptly
  • Managing the school inbox and distributing information to relevant staff
  • Supporting communication with parents via newsletters, text systems, and email platforms

MIS & Data Management

  • Updating and maintaining pupil records using SIMS, Arbor, or Bromcom
  • Managing attendance registers, first‑day response calls, and coding absences accurately
  • Supporting statutory returns such as School Census, Workforce Census, and other DfE submissions
  • Running reports for SLT, safeguarding leads, and pastoral teams

Admissions & Pupil Records

  • Supporting the admissions process from initial enquiry to enrolment
  • Preparing welcome packs, updating class lists, and ensuring all documentation is complete
  • Managing pupil leavers, CTF transfers, and updating LA systems

Safeguarding & Compliance

  • Ensuring all visitors follow safeguarding procedures, including ID checks and signing in
  • Maintaining the Single Central Record (if required by the school)
  • Handling confidential information with discretion and professionalism
  • Supporting safeguarding leads with admin tasks, referrals, and documentation

Attendance Administration

  • Conducting first‑day absence calls and logging reasons
  • Monitoring attendance patterns and flagging concerns to pastoral or safeguarding teams
  • Preparing attendance reports and letters for parents

General Administration

  • Preparing letters, documents, and reports for SLT and teaching staff
  • Supporting with photocopying, filing, and resource preparation
  • Managing office supplies, ordering stock, and liaising with suppliers
  • Assisting with school events such as parents’ evenings, open days, and assemblies

Finance (if required)

  • Processing invoices, orders, and deliveries
  • Supporting budget tracking and petty cash
  • Liaising with the school business manager on financial tasks

Supporting safeguarding procedures and visitor sign‑in

Salary is dependent on experience, training, or qualifications. The minimum experience, training, or qualifications required for this position are recent school-based experience (within the last 5 years within a school that teaches the British Curriculum) and/or care-based experience within the last 5 years.
